Manage permission groups
Create permission groups and control who may do what in your choir: create events, manage sheet music, keep the cash book or edit members.
This feature is only available on the web.
What is this?
With Permission groups you control who may do what in your choir. Permissions apply per choir. Every member belongs to exactly one group, and the group determines their permissions.
Default permission groups
- Administrator: always has all permissions. Only an administrator can make others administrators.
- Moderator: almost all permissions, except board area and mailbox, folder permissions, engagement warnings, confidential note on events, deleting contacts and GDPR requests.
- Member: sees events, sheet music, announcements, media albums, venues, projects and tasks, may download sheet music, see chats and start one-to-one chats.
System groups are marked “System”. Their name and description can't be changed, and they can't be deleted.
How to create a group
- Click Ensembles in the sidebar, pick your choir and then Choir settings.
- Select Permission groups and click New Permission Group at the top right.
- Enter the Group Name and optionally a Description, and pick a Group Color. The colour appears in the member list.
- Tick the Permissions you want. They are organised by area. Permissions that another permission requires are set by Theatilo automatically and marked “required”.
- Click Save.
You open an existing group by clicking its row. The table shows each group's name, description and number of members.
Delete a group
You delete your own groups via the menu on the row or in the open panel with Delete Permission Group. If the group still has members, assign them to another group first; Theatilo offers Go to members for this.
Assign a member to a group
- Open the member under Members.
- In the Profile tab choose the group under Permission group.
- Click Save.
Several members at once: select them and use Change permission group. The change applies immediately.
Permission
Only administrators of the choir can see and edit the Permission groups page. Anyone with Create & edit members may assign a group to members; only an administrator assigns the Administrator group.
Tips
- Keep the number of groups small. A few clearly named groups are easier to maintain.
- Create groups for clear tasks, for example “Music librarian” with permissions for sheet music only.
- Appoint at least two administrators, so the choir stays manageable if someone drops out.
