Kontakte (Adressbuch)

Create a new contact
How to add an external contact to the address book: basic details, address, bank details, tax numbers, tags and custom fields — or copy a member.

Edit a contact
Update an external contact's details — address, bank details, tags, notes and privacy fields. Existing records keep the details they were created with.

Archive or restore a contact
Hide contacts that are no longer active without losing data. Linked invoices and transactions stay valid, and you can restore contacts at any time.

Manage tags
Create your own tags to categorise contacts, rename them or delete them. The built-in system tags such as bank or sponsor cannot be changed.

Import contacts (Excel/CSV)
Upload an Excel or CSV file, map the columns and check the preview. Theatilo recognises existing contacts by email or IBAN and can update them.

Export contacts as Excel
Download the address book as an Excel or CSV file under Choir settings › Reports — active only, including archived or archived contacts only.

Issue a donation receipt for a contact
Create a donation receipt from a contact for an income entry in the cash book. Theatilo takes the donor's name and address from the contact.

Link address book contacts to an event
Link sponsors, guests of honour, guest musicians or other address book contacts to an event — with role and note. Shown in the event tab "Contacts".

GDPR disclosure & deletion for a contact
Give a contact access under Art. 15 GDPR as a download or delete them for good under Art. 17 GDPR — cash book records keep their details.
