What is this?

The address book is the central place for all external contacts of your choir: concert organisers, sponsors, banks, insurers, guests of honour, guest musicians, suppliers and authorities.

How to open the contacts

  1. Click "Ensembles" in the sidebar.
  2. Choose the choir and then "Contacts".

What you find here

  • List of all contacts with name or organisation, email, phone, city, tags and "Last contact", 50 per page
  • Search by name, organisation, email or city
  • Filters by tag and by Archive ("Active only", "Including archived", "Archived only")
  • "New contact" and "Manage tags" — with edit permission
  • ··· menu at the top with "Import contacts", "Copy from member" and "Custom fields"

Clicking a contact opens it at the side next to the list. There you also see which transactions, invoices and events it is linked to.

Permissions

  • View contacts — open the address book
  • Create & edit contacts — create, edit, manage tags and custom fields, restore
  • Delete contacts — archive
  • Import contacts, Export contacts, Handle GDPR requests

By default administrators may do everything; editors may view, edit, import and export.

Tips

  • Use several tags: a savings bank is a bank and a sponsor — set both tags instead of creating duplicates.
  • Keep the IBAN up to date if you need it for direct debits or donation receipts.
  • Consent to donation receipt: this date field only reminds you that the donor's consent exists — Theatilo does not store a document for it.

Frequently asked questions

Who can see the address book?▾
Only members with the permission "View contacts" — administrators and editors by default, plus any custom permission group you give it to. Regular members do not see the contacts.
What is the difference between contacts and members?▾
Members have a Theatilo login and belong to the choir. Contacts are external people or organisations your choir deals with — such as the concert organiser, the bank or a guest musician. Contacts have no login.
Can I assign a contact to several categories?▾
Yes. A contact can have several tags: the savings bank can be "Bank" and "Sponsor" at the same time. So you do not have to create it twice.
Are contacts available in the app?▾
No, the address book is only available on the web.
