Import contacts (Excel/CSV)

How to import contacts

1. Click "Ensembles" in the sidebar, choose the choir and then "Contacts". Open the ··· menu at the top and choose "Import contacts".
2. File: if needed, download the sample file (CSV or Excel) with all supported columns. Then choose your file (CSV, XLS or XLSX). Keep "First row contains column names" ticked if your file has a header row.
3. Map columns: assign each column to a Theatilo field. Known headings (including variants and English or German headings) are recognised automatically. Columns without an assignment are ignored.
4. Preview & import: you see how many rows are new, to be updated or invalid. If Theatilo finds an existing contact with the same email or IBAN, you choose "Update", "Create new" or "Skip" for each row.
5. Click "Import … contacts". Afterwards you see how many contacts were created, updated or skipped, and any errors.

Tips

• Tags column: enter tags separated by commas (e.g. "bank, sponsor"). Theatilo creates unknown tags as new tags of your choir.
• Include the IBAN if available — it helps recognise existing contacts.
• Single faulty rows do not stop the import: the rest is imported, and you get a list of the problematic rows.
• Custom fields: columns whose heading is exactly the name of a custom field are mapped automatically. Yes/no fields understand yes/no, x or 1/0. When updating, custom fields that are not mapped stay unchanged.
