Create a new contact
How to add an external contact to the address book: basic details, address, bank details, tax numbers, tags and custom fields — or copy a member.
This feature is only available on the web.
How to create a contact
- Click "Ensembles" in the sidebar, choose the choir and then "Contacts".
- Click "New contact" at the top right. The form opens at the side.
- Fill in the relevant fields — you do not have to use all of them:
- Basic details — salutation, organisation, first and last name, email, phone, mobile, website, birthday
- Address
- Bank details & tax — IBAN, BIC, bank, tax number, VAT ID
- Categorisation — tags such as sponsor, bank or guest of honour
- Custom fields, if your choir has created any
- Notes & GDPR — internal notes, consent to donation receipt, retain until
- Save the contact.
Tips
- Organisation or name: fill in at least one, otherwise the contact is hard to find.
- IBAN: enter it right away if you need it for direct debits or donation receipts.
- Notes are internal only — the contact never sees them. They are included in the export.
- Custom fields: via ··· › "Custom fields" (or the link in the form) you create your own fields (text, number, date, yes/no, selection) — such as customer number or contact person. They apply immediately to all contacts of the choir; if you delete a field, its values disappear from all contacts.
Copy a member as a contact
If someone leaves the choir but you want to keep the address (for example as a supporter), copy the member directly:
- In the contacts, click ··· › "Copy from member", choose the member and click "Continue to contact".
- Name, email, phone, address, bank details, birthday and notes are pre-filled.
- Custom member fields go into the contact field with the same name (upper/lower case does not matter). If there is no matching field or the value does not fit, it goes into the notes instead.
- Check the details, choose tags and save.
- Afterwards you can remove the member under Members — the contact stays.
For this you additionally need the permission to see sensitive member data.
