This feature is only available on the web.
Permission required: Members – Create & edit members
What is this?
In a member's Profile you maintain their details: name, email, contact, voice part, permission group, status, bank details, notes and custom fields.
How to edit a member
- Click Ensembles in the sidebar, pick your choir and then Members.
- Click the member. They open in the side panel on the right with the Profile tab. With Open as page you get the same details as a separate page.
- Change the fields you want. Required fields are marked.
- Click Save.
Which fields you maintain
- Person: profile picture, first name, last name, email, gender, birthday, wedding anniversary
- In the choir: Active Member, Do not automatically add to events, Voice, Permission group, Entry Date
- Contact: street, postal code, city, phone, mobile
- Bank and SEPA: IBAN, BIC, direct debit of membership fees, mandate reference and mandate date
- Notes
- Custom fields, if your choir has created any
You enter ensemble functions in the Roles tab, with a start and an optional end.
Who may edit what
- Create & edit members: all fields of other members. Only an administrator can edit administrators.
- Edit own data: their own profile, except email address, permission group, own status and notes.
- Only an administrator assigns the Administrator permission group.
Special cases
- Passive members have no permission group and no access. Active members need an email address.
- When you set a member passive, Theatilo asks whether to remove them from upcoming events. Past events always stay unchanged.
- Members from the main choir (in projects and sub-choirs) are mostly edited in the main choir.
Permission
You need the permission Create & edit members; for your own profile, Edit own data is enough.
Tips
- Set members passive instead of removing them when they take a break. The data is kept, access is paused.
- Keep birthday, wedding anniversary and entry date up to date, so the reports under Choir settings are correct.
Frequently asked questions
Does the member see my changes?▾
Yes. Once saved, the new details apply everywhere in Theatilo.
Can the member keep their details up to date themselves?▾
Yes, with the permission **Edit own data**. If the member may also see the member list, they open their own profile there and change their details. They cannot change their email address, permission group, own status or notes.
What happens when the voice part changes?▾
The member then belongs to the new voice part, in the member list, in the filters and in everything grouped by voice part. Events that are only visible to certain voice parts follow the new voice part.
