Choir files area
In Files your choir keeps shared documents such as statutes, minutes and contracts, organised in folders and with permissions per folder.
What is this?
Files is your choir's shared storage. It holds everything that isn't an event or sheet music: club documents, minutes, contracts, concert material, instructions.
How to use the area
- Click Files in the sidebar. If a choir is selected at the top, its storage opens; with “All choirs”, Theatilo asks which choir you mean.
- You see the folders and files of the current level. Use the breadcrumbs at the top to jump back.
- Click a folder to open it, or a file to download it.
- Use Search this folder to filter the current level.
- Switch between List view and Grid view to the right of the search.
- Create folders with New Folder and upload files with Upload, or drag files straight into the window.
What you can see and do
A file's row shows size, version (from version 2) and when and by whom it was last changed. Via ··· on the row (or right-click in grid view):
- Files: Download, Versions, Rename, Move, Upload new version, Delete
- Folders: Open, Rename, Move, Permissions, Delete
Deleted files and folders stay in the Trash for 7 days (··· menu at the top right).
Folders with their own permissions
With Permissions on a folder you create rules. Each rule applies to a permission group or an ensemble function and allows View, Upload, Edit and Delete. Without a rule, the permission group decides. Folders with their own rules show a lock.
Desktop app
With the desktop app, the shared folder sits on your computer like a normal folder. You get the download via Get the desktop app in the notice at the top of the storage, as long as you haven't closed it.
In the app
Under Files you choose the choir and browse folders and files. In the app you can view files, but not upload or change them.
Permission
- View: View files
- Upload, create folders: Upload files
- Rename, move, new version, restore: Edit files
- Delete: Delete files
- Set folder permissions: Manage folder permissions (in new choirs administrators only)
If a folder has its own rules, those apply there instead of the permission group's permissions.
Tips
- Structure with clear folders, such as “01 Club documents”, “02 Minutes”, “03 Concerts”. Numbers keep the order stable.
- Use meaningful file names such as “Minutes-Board-2026-03-15.pdf”.
