Invite guests to an event

What is this?

With Invite Guest you bring people from outside your choir to a single event, such as substitutes, soloists or guest conductors. Guests appear in a separate group in the attendee list.

How to invite guests

1. Open the event and switch to the Attendees tab.
2. Click “Invite Guest”.
3. Search for a contact from the address book or enter Email, First Name and Last Name.
4. Optional: Assign a voice to the guest.
5. Click “Send Invitation”. The guest gets an email.

You only see the address book search with the permission View contacts.

Two kinds of guests

Contact from the address book: The contact gets an email with a personal link and uses it to respond without an account with Attending, Maybe or Declined, optionally with a reason for declining. The response appears right away in the attendee list, where the guest is marked as “Contact”. Changing their mind is possible until the event starts. The contact needs an email address.

Invitation by email address: If there is no Theatilo account for the address yet, Theatilo creates one and sends the login details along. After logging in, the guest only sees this event, with sheet music and uploaded files, and responds there. In the list they are marked as “Guest”.

Managing guests

Via the ··· menu next to a guest in the attendee list you can:

• Resend Invitation, as long as the guest has not responded yet
• Remove Guest: They then get no further messages about this event.

Permission

You need Create & edit events. By default administrators and moderators have it. Inviting guests only works on the web.

Tips

• Write in the event description what will be sung and what to bring. Guests often don't know your routines.
• Name a contact person in case the guest has questions.
