What is this?

Every event has a status. Normally it takes place, and you see no marker. There are also two other statuses:

  • Tentative: The event is planned but not settled yet. Members see the marker and can still respond yes or no, so you can see who would be available.
  • Cancelled: The event does not take place. It stays in the events list, crossed out and marked “Cancelled”.

How to cancel an event

  1. Open the event in the events overview.
  2. Open the “···” menu at the top right and choose Cancel event. The app works the same way.
  3. Optionally enter a reason, for example “The choir director is ill”.
  4. Confirm. Members get a message.

If the event belongs to a series, you choose just like when deleting: only this event, this and all future, or all events in the series.

Undo cancellation

Open the cancelled event and choose Undo cancellation. The event then takes place again, responses are possible again, and members get a message.

Mark an event as tentative

When creating or editing the event, tick Tentative. Once the event is settled, untick it again. If you send a change message, members see “Tentative → Takes place”.

What happens with a cancelled event

  • Responses are locked. Existing answers stay saved.
  • Reminders are no longer sent.
  • Calendar subscription: The event disappears from the personal calendar.
  • Attendance and statistics do not count the event.
  • Public website: The event stays listed as “Cancelled”, without ticket sales.
  • Tickets: As long as tickets exist, the event cannot be cancelled. Cancel them first on the “Tickets” tab.

Permission

You need Create & edit events. By default administrators and moderators have it.

Frequently asked questions

What is the difference between cancelling and deleting?▾
A cancelled event stays visible and is marked “Cancelled”. Responses, comments, files and tasks are kept, and you can undo the cancellation at any time. A deleted event, on the other hand, is gone for good.
Do members get a message?▾
Yes, for future events everyone who is allowed to see the event gets an email and a push notification, depending on their own settings. Invited guests with an account too. If you entered a reason, it is included in the message. If you cancel several events of a series, only one message is sent.
Why can't I cancel the event?▾
There are still tickets for the event. Cancel them first on the “Tickets” tab. Only then can the event be cancelled, so that no buyer is left without a refund.
Does a cancelled event disappear from my calendar?▾
Yes, from the personal calendar subscription. In Theatilo itself it stays in the list, crossed out. In the public calendar of your choir website it stays with “[Cancelled]” in the title, so concertgoers know about it.
Does a cancelled event count towards attendance?▾
No. Cancelled events count neither in the attendance statistics nor in the export, and no more reminders are sent.
