Change the date, time, location, description, deadlines or visibility of an event. If you like, everyone gets a message listing the changes.

What is this?
With Edit an event you change an existing event, for example when the rehearsal room or the time changes.
How to edit an event
- Open the event in the events overview.
- Click “Edit” at the top right. In the app, tap the pencil at the top.
- Change the fields you want.
- Optional: Tick Send notification to all members and write a Note about the change.
- Save. If the event belongs to a series, you then choose which events the change applies to.
What you can change
- Basics: name, type, linked event
- When and where: start, end, all day, location, call link
- Responses: attendee limit, response deadlines, automatic reminders
- Description: internal description, website description, confidential note (with permission)
- Custom Fields
- Visibility: restrict to voices, permission groups, functions or chat groups
You do not change sheet music, tasks, files and individual attendees in the form, but in the respective tabs of the event.
For event series
- Only this event: The other events of the series stay unchanged.
- This and all future: This event and all later events of the series.
- All events in the series: Past events are adjusted too.
Permission
You need Create & edit events. By default administrators and moderators have it.
Tips
- Write a note about the change when you reschedule, so everyone understands right away what is going on.
- Check the date before saving, especially for series with “All events in the series”.
Frequently asked questions
Are members informed about changes?▾
Only if you tick “Send notification to all members” when saving and the event is in the future. The message automatically contains an overview of what changed and your optional “Note about the change”. Several changes in quick succession are bundled into one message.
Are responses kept?▾
Yes. Existing responses are kept, even if you change the date, time or location.
Can I edit just one event of a series?▾
Yes. When saving, Theatilo asks whether the change applies to “Only this event”, “This and all future” or “All events in the series”. With “All events in the series”, past events are adjusted too.
Can I change the choirs involved afterwards?▾
No. The choirs of an event cannot be changed after it has been created. If you need a different combination, create the event again.
