Import entries from CSV
Take over entries from a CSV or Excel file, for example from an old cash book. You map the columns and see a preview before the import starts.
This feature is only available on the web.
What is this?
With Import entries you take over many entries at once, for example when switching from a spreadsheet or other club software. A wizard guides you through four steps: File, Mapping, Preview and Result. Up to 1,000 entries are possible per import.
How to import entries
- Open Ensembles, choose your choir and go to Cash book > Settings > Import entries.
- Click Start import.
- File: Choose the Default account, upload the file and leave First row contains column names ticked if your file has headings. Click Next.
- Mapping: Assign a field to each column. Theatilo recognises many columns by their heading. Columns without a mapping are not taken over. Click Next once all required fields are mapped.
- Preview: Check the first ten rows, the number of valid and invalid rows and the notes.
- Click the button with the number, such as Import 25 transactions.
- Result: Theatilo shows how many entries were imported and which rows were not taken over.
Amount and type
Amounts may be written with a comma or a point; Theatilo takes them over as a positive number. Whether it is income or an expense is decided by the Type column. If it is empty, Theatilo uses the sign of the amount: positive is income, negative is an expense.
Accounts, categories and SKR accounts
Theatilo matches accounts and categories by name, and SKR accounts by account number. So create your accounts before the import. If Theatilo cannot find an SKR account, the entry is imported without an SKR account and the result lists the numbers.
Permission
You need Create & edit transactions.
Tips
- Test with a few rows before you import a large file.
- No double opening balance: If the old account balance is already in the account’s opening balance, only import the entries after that.
- After the import, compare the balance under Accounts with your old cash book.
