Manage invoice templates
Templates set the look, logo and texts of your invoices. Each language can have a default template, which is suggested for new invoices automatically.

What is this?
A template determines what an invoice’s PDF looks like: layout, logo, fonts and fixed texts. Under Templates they are grouped by language. The default template of a language carries the label Default.
How to create a template
- Open Ensembles, choose your choir and go to Cash book > Settings > Invoices.
- Choose Templates at the top and click New template.
- Enter the Template name and choose the Language.
- Optionally: tick Default template for this language.
- Design the template in the editor and insert placeholders.
- Click Save.
Managing templates
Click a template to edit it. The ··· menu of a template offers:
- Edit
- Set as default
- Duplicate — handy for carrying a template over into another language
- Delete

Tips
- No template, no invoice: If there is no template, the invoice editor shows the notice “Create first invoice template”.
- If you write invoices in English, create an English template. Otherwise the editor reports “No template for language …”.
Frequently asked questions
How many templates can I create?▾
As many as you like, in German, English, French, Dutch, Spanish, Italian, Swedish and Slovenian. Per language, one template can be the default template.
How do the placeholders work?▾
In the template editor you insert placeholders, for example for the invoice number, recipient, club name, bank details or line items. For each invoice, Theatilo fills in the real data.
What happens when I delete a template?▾
Existing invoices keep their PDF. The template is no longer available for new invoices.
Do changes to a template affect old invoices?▾
No. Final invoices keep their stored PDF. Drafts show the changed template in the preview.
