Synchronize bank account

What is this?

Fetching means: Theatilo asks the bank for new transactions since the last fetch. This happens automatically every night. If you need the transactions right away, for example before a board meeting, you start the fetch yourself.

How to fetch all bank accounts at once

1. Open Ensembles, choose your choir and go to Cash book > Bank reconciliation.
2. Click Fetch transactions at the top right. Theatilo fetches all active bank connections of the choir.
3. A message shows how many new transactions were fetched.
4. The new transactions appear right below for confirmation.

How to fetch a single account

1. Go to Cash book > Accounts, open the ··· menu on the card and choose Bank connection.
2. Click Sync now.

What happens when fetching

• New transactions are created as suggestions and appear under Bank reconciliation.
• If a transaction matches an entry you have already recorded by hand (same account, same direction, same amount, dates at most three days apart), Theatilo marks it with Matches an entry.
• Theatilo suggests a category if there are earlier entries with the same counterparty, and links a member if the IBAN matches a member.
• The bank’s account balance is taken over for the balance check.

Permission

You need Create & edit transactions. Without this permission, the Fetch transactions button is missing.

Tips

• Confirm the suggestions promptly under Bank reconciliation, so the list stays short.
• Fetch transactions only appears when at least one bank connection is Active.
