Period closure / year-end closing

Close a period such as a financial year. After that, entries in it can neither be changed nor cancelled. The closing is final and cannot be undone.

What is this?

With GoBD closing you lock a period, for example a financial year after the cash audit. Theatilo stores the number of entries, income, expenses and closing balance, together with a checksum. The opening balance of a closing is the closing balance of the previous closing.

How to close a period

  1. Open Ensembles, choose your choir and go to Cash book > Settings > GoBD closing.
  2. Choose Start and End. The current calendar year is pre-filled.
  3. Click Check period. Theatilo shows the number of entries, income and expenses and checks whether everything is reconciled.
  4. If the period can be closed, click Close period in the notice.
  5. Confirm the prompt. The period appears under Closed periods.

Viewing closed periods

The list shows the period, closing date with person, number of entries, income, expenses and balance. One click opens the details with closing balance, result, who closed it and when, and the checksum.

Permission

Closing: Create & edit transactions. Everyone with View cashbook can see the list of closed periods.

Tips

  • Reconcile all entries beforehand, otherwise the period cannot be closed. You find the filter Status: Not reconciled under Entries.
  • Export reports before closing, such as the annual report and the cash audit report via Export.

Frequently asked questions

What changes after closing?▾
Entries dated within the closed period can no longer be changed, cancelled or reconciled. New entries and imported rows dated within it are rejected.
Can I undo a closing?▾
No. The closing is locked with a checksum and cannot be undone.
Why can the period not be closed?▾
Theatilo then reports **Period cannot be closed** and gives the reason. Either there are still entries in the period that are not reconciled, or it overlaps with a period that has already been closed.
