Manage entry categories
Categories sort income and expenses, such as membership fees, donations or room rent. Theatilo comes with 17 built-in ones, and you can add your own.

What is this?
Categories give each entry a subject. They appear in the entry list as a coloured label, can be filtered there and form the basis for the annual report.
Each category has a Type: Income, Expense or Both. The entry form only shows categories that match the selected type. In the list, Source shows whether it is a Built-in or a Custom category.
How to create a category
- Open Ensembles, choose your choir and go to Cash book > Settings > Categories.
- Click Add category.
- Enter a name, for example “Choir trip”.
- Choose the type: Expense, Income or Both.
- Choose a colour.
- Click Add.
Edit, delete or hide categories
Using the ··· menu of a row:
- Edit — change the name, type and colour (custom categories only)
- Delete — remove a custom category, as long as it has not been used
- Hide — remove a built-in category from the selection lists

You need Create & edit transactions.
Tips
- If a category name contains “Spende” or “Donation”, as with the built-in donations category “Spenden”, Theatilo offers the Donation Receipt for income in it and uses the category for New donation.
- Less is more: For projects, use the Cost Center field rather than many categories.
Frequently asked questions
Which categories already exist?▾
Income: membership fees, concert income, donations, sponsorship, grants, other income. Expenses: sheet music and literature, room rent, travel costs, catering, costumes/clothing, instruments/equipment, insurance, administration, marketing/advertising, fees, other expenses.
Can I change or delete the built-in categories?▾
No. Built-in categories can only be hidden with **Hide**. Right afterwards you can take this back with **Undo** in the message. Your own categories can be edited and deleted.
Why can a category not be deleted?▾
Categories that have already been used for entries cannot be deleted. This keeps old entries complete.
