Recalculate balance
Theatilo recalculates each account balance from the opening balance and entries on every visit. This helps you find the cause if it does not match the bank.
This feature is only available on the web.
What is this?
Theatilo does not store an account’s balance as a fixed value that you would have to trigger by hand. Under Accounts and on the Overview, Theatilo calculates on every visit:
Opening balance + all income − all expenses of the account.
So if the balance does not match the bank statement or the counted cash, the cause lies in the entries or the opening balance.
How to find a discrepancy
- Open Ensembles, choose your choir and go to Cash book > Accounts.
- Compare the balance on the card with the bank statement or the cash on hand.
- Check the opening balance shown below it on the card.
- Click Transactions to see all entries of this account. Narrow down the period via More filters and compare item by item.
- Look for duplicate entries, for example after an import or when an entry was recorded by hand and also came from the bank.
- Correct mistakes by cancelling the wrong entry with Cancel transaction and recording a new, correct entry.
For connected bank accounts
Under Accounts > ··· > Bank connection, the Balance check section shows the balance at the bank, the confirmed balance in the cash book, suggestions not yet confirmed and the Difference. If everything matches, it shows Matches.
Permission
View cashbook is enough for viewing. To cancel, you need Delete transactions; for new entries, Create & edit transactions.
