Compliance and audit log

The audit log records who created, changed or cancelled entries and receipts and when, with old and new values. You can export it as a CSV file.

What is this?

Under Audit logs Theatilo records changes in your choir’s cash book. This way, during a cash audit you can trace who did what and when.

At the top there are four tiles: the number of records for Created, Updated and Deleted, and the records of the Last 7 days. Below them follows the list with timestamp, object, user, action and IP address.

How to use the audit log

Open Ensembles, choose your choir and go to Cash book > Settings > Audit logs.
Filter by action or click More filters for a period with From and To.
Click a record to see the details in the side panel: time, person, action, IP address, device and browser, old and new values.
Click Export as CSV to download the log. Without a period filter, the file contains the current year up to today.

The audit log as CSV is also available under Export with the report type Audit log (CSV).

Permission

You need View cashbook. Audit logs and GoBD closing are the two pages under Settings that members without Create & edit transactions can also see.

Tips

Give the cash auditor the CSV export for the audited period.
Records without a person are shown as System, for example when Theatilo changed something itself.

Frequently asked questions

What is in the audit log?▾

Created, changed, cancelled and imported entries, uploaded and deleted receipts, and entries that were merged during bank reconciliation. Each record has the time, person, IP address, device and browser, as well as the old and new values.

What is not in it?▾

Changes to accounts, categories and the chart of accounts, period closings, marking as reconciled and rejected bank transactions. You can see closed periods under **GoBD closing**.

Can records be changed or deleted?▾

The cash book has no function for that. Records are only ever added.
