Manage join requests

Handle membership and jubilee requests from choirs: mark them in progress, accept them or reject them with a reason. The choir gets an email.

What is this?

Two kinds of requests from choirs land under Requests:

  • Membership — a choir wants to join the association.
  • Jubilee — a choir reports a singing jubilee of one of its members.

How to handle a request

  1. In the sidebar, click "Association" and choose the "Requests" tab. The number on the tab shows open requests.
  2. Filter by status if needed: Requested, In progress, Accepted, Rejected.
  3. Click a request to open it in the side panel.
  4. Choose an action at the bottom:
    • "Mark in progress" — shows that someone is taking care of it
    • "Accept"
    • "Reject" — with a reason

What you see in the request

  • Membership: the choir's name and contact email
  • Jubilee: the member with address, email and birthday, the number of years, the total singing years, the date they joined the current choir and their previous choirs
  • The choir's cover letter, if there is one
  • History of all status changes with date and person

Permission

Roles with access to requests may see them; only roles that may manage requests can handle them — by default the association's administrators and editors.

Tips

  • Check in regularly — choirs are waiting for a response.
  • Set requests to "In progress" if something still needs to be clarified.
  • Word rejections kindly — the reason stays saved with the request.

Frequently asked questions

Is the choir notified when I handle its request?▾
Yes, by email. For a membership request, the choir's administrators get the message; for a jubilee request, the person who submitted it.
What happens when I accept a membership request?▾
From then on, the choir belongs to the association and appears among the member choirs. It receives your association announcements.
Do I have to give a reason for a rejection?▾
Yes. When you reject, Theatilo asks for a reason, which is saved with the request.
