Create an event from a poll result

Turn a date option from your poll into a fixed event with one click. The votes are carried over as responses to the new event.

What is this?

If you started a date poll, for example "When works for the extra rehearsal?", you can turn any option into a fixed event with one click. Theatilo takes over the option's date, time and duration and creates a full calendar entry.

That saves you from reading off the result and creating the event by hand. The votes from the poll go straight into the event as responses.

How to create the event

  1. Open the notification with the date poll from the notifications overview.
  2. Scroll to the poll and check the current result.
  3. Below the date option you want, click "Create event from option". The button is below every date option, not just the one with the most votes. You can only create the event with the Create & edit events permission.
  4. Confirm the prompt "Really create event?" with "Create event from option". Theatilo creates the event right away.

The event gets the poll question as its title, is created as a rehearsal and takes over the option's start time and duration. You'll then find it in the normal calendar under Events. To add a location, notes, sheet music or a different event type, edit the event there.

Who sees the event?

The event takes over the notification's visibility. If you restricted the notification to certain permission groups, functions or chat groups, the same restriction applies to the event. If the notification was only visible to the board, for example, only the board sees the event.

The responses follow the votes for the chosen option:

  • Voted "Yes": set to Accepted in the event
  • Voted "Maybe": set to Maybe
  • Everyone else who can see the event: set to Pending; they are invited to the event

What happens to the poll

The poll stays as it is: it isn't closed, and the notification shows no reference to the event. If nobody should vote anymore, archive the notification or set a deadline in the poll. To let everyone know, you can write a comment in the notification saying the date is fixed.

Who is notified?

Creating the event triggers the normal event notifications, and only for the people who can see the event:

  • Push notification and email, bundled by Theatilo and sent after a few minutes
  • Calendar entry, on the web and in the app
  • iCal sync into personal calendars, if subscribed

Permission

You need the Create & edit events permission to create an event from a poll, the same permission as for creating an event normally. By default the choir director and the board have it. People with only View notifications can take part in the poll but can't create the final event.

Tips

  • You don't have to pick the option with the most votes. Sometimes an option close behind works better for organizational reasons, for example room availability.
  • Add a comment in the notification if you decide against the majority, so everyone understands why.
  • Set a deadline in the poll so the result is settled in time and nobody votes afterwards.
  • Click only once. Each confirmation creates a separate event. If you end up with a duplicate, simply delete it in the calendar.
  • Link to the poll notification in the event if further information is in the notification's text.

Are members notified?▾
Yes. Everyone who can see the event gets a push notification and an email, not only those who voted. Theatilo bundles these messages and sends them after a few minutes.
Is the poll closed after the event is created?▾
No. The poll stays open, and the notification shows no reference to the event. If nobody should vote anymore, archive the notification or set a deadline in the poll.
Can I still change the event later?▾
Yes. The new event behaves like any other event in Theatilo. You can change the date, time, location, visibility and all other details at any time. Members then get an update notification.
