Store a copy of your license directly on the piece — as PDF, JPG or PNG. Only people allowed to edit sheet music see the file.

What is this?

With the license file you store on the piece a copy of the proof that your choir may use the work — such as a license agreement or an invoice from the publisher. This matters for:

  • Copyrighted works
  • Pop arrangements and modern compositions
  • Duplication of the score (copies for members)

That way you have the proof quickly at hand if a publisher or collecting society asks.

How to upload a license file

  1. Open the piece in the library and click Edit.
  2. Scroll to the License file area.
  3. Drag the file into the Upload license file field or click it and select it — PDF, JPG or PNG, up to 10 MB.
  4. Click Save.

When uploading a new piece, you can attach the license file directly in the Files area.

Viewing, replacing or removing the license file

  • View: on the detail page under Details, click License file, or under Edit via Stored license file › View License File.
  • Replace: under Edit, drag a new file into the Replace license file field and save.
  • Remove: under Edit, choose Remove License File at Stored license file and save.

Permission

Uploading, viewing and changing is possible for anyone with Create & edit sheet music. For all other members the file is invisible.

When you need a license

  • For public performances of protected works
  • For audio recordings and videos with the piece
  • For duplicating the score
  • For your own arrangements of protected works

For public domain works (Bach, Mozart, Schubert, traditional folk songs) you need no license. Note: modern arrangements of old works can be protected again.

Sheet music from the music shop

Sheet music your choir buys in the Theatilo music shop already carries the license in the PDF: each member gets a personal PDF with the choir's name and license number. This number can be verified publicly (see Verify license code). You do not need a license file of your own for that.

Tips

  • Upload the license file right when you upload the piece — it is easy to forget later.
  • Note time-limited licenses in the description, so you keep track of the expiration.

Frequently asked questions

Do I need a license for every piece?▾
No. Works in the public domain (such as traditional folk songs or music by long-deceased composers) need no license. For copyrighted works, a license is needed depending on the use.
Does Theatilo remind me when a license expires?▾
No. Theatilo only stores the file, not an expiration date. It is best to note time-limited licenses in the description or in a custom field of your choir.
Do members see the license file?▾
No. The license file is only visible to people with the Create & edit sheet music permission — they find it on the detail page under Details.
