Engagement early warning (members with declining activity)

Spot members who come to events less and less often, before they drop out. The early warning looks at rehearsal attendance.

What is this?

The engagement early warning shows you members whose rehearsal attendance has dropped noticeably. That way you can spot early who might be about to leave, and get in touch before someone quietly drops out.

It is based solely on attendance at past events over the last three months. Members who miss several events in a row, rarely attend overall, or come much less often than before appear here.

What you see in the list

For each choir, the top shows how many events were evaluated. For each member you get:

  • Name and voice part
  • Attendance, for example "Attended 4 of 12 events"
  • Absences in a row, from three upwards
  • Trend: whether attendance is falling, rising or steady
  • Quick access: one click opens the member in the member list

How to use the early warning

  1. Open Home (the first item in the sidebar) and scroll to the "Early warning: attendance" block.
  2. Look at each member: what triggered the warning?
  3. Talk to the member personally: a short call, a message or a chat after rehearsal works wonders.
  4. Reset the analysis if needed, for example after a clearing conversation in the choir. After "Reset analysis", only events from today on count. The attendance records themselves are kept.

When someone disappears from the list

As soon as the member comes to events more regularly again and no longer meets any of the criteria, they drop off the list automatically.

Permission

You need the View engagement warnings permission. By default only the Administrator permission group has it. Regular members don't see the early warning. The app doesn't show it.

Tips

  • Respond to early warnings quickly, ideally within a week. The sooner you react, the better the chance of winning someone back.
  • Be empathetic and curious, not reproachful. There is usually a reason that can be sorted out.
  • Reset the analysis after longer breaks, for example after the summer holidays, so old absences stop counting.

Frequently asked questions

How is a member's activity measured?▾
Theatilo looks at attendance at past events over the last three months. A member stands out if they missed four or more events in a row, attended less than 30 percent of events, or come much less often than before. At least three events are needed for this.
Do members see that they are on the early warning list?▾
No. Only people with the **View engagement warnings** permission see the list. It is meant as an internal tool for reaching out proactively.
What should I do if someone shows up?▾
Reach out personally; often a short call or message is enough. Sometimes stress, illness or other life circumstances are behind it, and they can be sorted out.
